Bill Handling Options
Bill data entry will be the biggest ongoing regular task. If you have a lot of buildings, it's time consuming and not much fun, so you sure don't want to have to key in bill data more than once. mec gives you a number of options for getting your bill data into the system.
| • | Import off spreadsheet or EDI files - some utilities will provide bill data electronically, either as spreadsheets or Electronic Data Interchange files. MEC uses stored field-matching templates to interpret bill records and bring them in cleanly. |

| • | Through our Meter Data Web Service - upon subscribing, we create a web interface to your accounting or ERP system, or directly to the systems of your utility providers. Most modern information systems have this kind of interface capability, and the setup effort is usually very reasonable. Bill information is passed securely from one system to the other, as soon as they become available. This method offers the least manual interaction and the fastest response and update times. |
| • | Individual key entry - you transcribe the information off the bills or PAP statements into a standard screen form. Use this method if you don't need an electronic scan of each bill. |
| • | Individual scan and key entry - you scan each bill to an Adobe pdf file as it arrives, then type in the required information on the screen beside the scanned picture. The entry form is laid out to look like the bill, and data entry fields are highlighted. |
| • | Batch scan and key entry - you scan stacks of bills, in any order, into large pdf files. A clerk enters the first 3 or 4 characters of the account code for each bill as it is displayed on the screen until mec finds a positive match. Bill pages slide from right to left across the screen. MEC creates new bill records and matches each to data entry layout templates. mec splits up the pdf file, assigning pages to bills, and stamps each bill record with date and clerk ID. Bill data entry can be done right away or later. Bills are audited at the time of data entry. |
| • | Managing Energy Inc. does it - we receive your bills, scan them, and enter them for you. Because of our volume, this is very likely to be less expensive than doing it yourself, and of course you can review them any time through your mec subscription. |
